Voice Mail
A voice mail system records messages from people both inside and
outside a company.
Voice mail systems use centralized equipment to record, store, and
play back messages. Each user has access to an individual mailbox,
which allows messages to be kept private.
These systems are sized according to the number of ports, or connections,
that are established between the phone system and the voice mail
system. Having more ports on a voice mail system means more people
can simultaneously leave or pick up messages.
Compared to written notes, voice recording allows longer and more
complex messages to be accurately communicated. The ability to leave
detailed, private messages frequently means callers can relay information
without the need for a return call. This is especially useful when
you consider that half of all calls are for one-way transfers of
information.
Voice mail systems also guarantee a common messaging platform within
a company. Features such as broadcasting allow employees to send
messages to multiple people at one time, allowing the system to
serve as a central messaging center for work groups or the entire
company.
Voice mail systems are designed specifically to work with phone
systems. The term "integration" refers to a high level
of inter-activity between the phone and voice mail systems.
In most cases, integration comes down to three features. First,
a light on the phone indicates when messages are waiting in the
mailbox. This notifies users when to check the system. A second
integration feature is the ability to automatically forward calls
to the correct mailbox when a call is not answered. This alleviates
the need for the caller to remember the correct mailbox number to
leave a message. A third integration feature is known as "return
to operator." This allows a caller to exit the voice mail system
and reach a live attendant at any time.
Not all voice mail and phone system combinations can attain this
level of integration. Before buying, you need to check that the
particular combination you are considering will handle these three
tasks.
